Background
DRC has been operating in Mail since 2013. DRC in Mali is providing response for protection and food safety needs of population in Northern and Center region. Per its mandate, DRC also provides response in armed violence reduction in coordination with Niger and Burkina Faso programs.
Purpose
Based in Bamako, Operations Support Trainee will support all project implemented by DRC in Mali meaning Gao, Mopti, Segou and Bamako. Under the supervision of the Head of Operation, s/he will work on field issues related to the management of finance contracts and reporting (Program Management Tool review, regular field call). S/he will provide proofreading support for reports written in the field, send requests for additional information to the field teams and assist them in producing accurate and analytical documents, in accordance with donor guidelines (interim and final reports, project proposals, etc.). S/he will also be responsible for recording grant data in the DRC system (dynamics).
The Operations Support Trainee will work extensively with the program department and interact with support departments.
Duties and Responsibilities
Under the direction of the HoO, the Operations Support Officer will have the following responsibilities:
- Lead the review of donor or activity reports (share all necessary documents such as donor template and previous reports, coordinate all reviewers, review, send to regional office/headquarters/donor).
- Support the Head of Operations in monitoring projects:
- Reviewing the PMT (Project Monitoring Tool)
- Active participation in weekly field call
- Participation in the BFU (Budget Follow-up) review
- Support the MEAL responsible on all capitalization responsibilities
- Support capacity building of the field teams (activity reports, donor reports…)
- Follow-up on project payment deadlines
- Represent DRC in technical clusters (protection, food security, armed violence reduction) as needed.
- Write and/or revise communication and advocacy products based on information provided by country and regional teams, in accordance with priorities defined with HoO.
- Oversee the grants component of the DRC Dynamics system.
- Support all project managers in their daily tasks as needed and as prioritized with the Head of Operations (meeting reports, ToR review).
- Active participation in all project review meetings.
- Manage archives of reports through the internal DRC system sharepoint.
Expériences / Formation
Required Qualifications
- Post-graduate degree/ University Degree (Bachelor or Master) in International Development/ Development Studies, International Relations, Economics, Political Science/ Public Affairs, Business Administration or Management, or another relevant field is required;
- Proven operational management experience and capability;
- Proven significant financial management experience;
- Excellent communication, interpersonal and influencing skills with a well-developed ability to motivate and persuade at high levels;
- Full professional fluency in French language (80% of the professional communication in this position will be done in French, including almost all the communication within the Country Office);
- Proficiency written and spoken of the English language;
- Understanding of the different contexts of the West Africa Region;
- Excellent Computer Skills (MS Office, Internet) and an advanced proficiency in Excel are required.

General Regulations
- The employee shall follow DRC instructions on safety, confidentiality and ethical guidelines, including the Code of Conduct and the Humanitarian Accountability Framework
- Employee should not engage in any other paid activity during the DRC contract period without prior authorization
- Employee should not engage in any activity that could harm DRC or the implementation of any project during the DRC contract period
- Employee should not give interviews to the media or publish project-related photos or other material without prior authorization
- Employee shall return all borrowed equipment for the project to DRC after the end of the contract period or upon request
